IT Inventory Management: Why Most UK Businesses Get It Wrong (And What It's Costing Them)

BornGood ITAM dashboard showing device estate management and IT inventory tracking

Ask any IT manager in the UK how they track their devices and you'll usually get one of three answers. A spreadsheet. A half-finished asset tool nobody updates. Or a slightly uncomfortable pause.

IT inventory management sounds boring until something goes wrong. A laptop walks out with a leaver and never comes back. A new starter sits on day one without a machine. An auditor asks how many active devices you have and the number in your records does not match reality. According to Nexthink, lost worktime from faulty tech and poor IT support costs UK businesses around £115 million a week. That is not a device problem. It is an inventory problem.

Why Most UK Businesses Get It Wrong

Spreadsheets that drift out of date. Spreadsheets are free and familiar, but they rely on a human remembering to log every change. They don't. Within weeks, the record no longer matches reality, and by the time it matters, the person who built it has left.

No single source of truth. Procurement sits in Finance. Warranty history lives in emails. Assigned users are in HR. End-of-life kit is in a cupboard nobody has keys to. IT Portal research suggests fragmented inventory drives up to 25 percent higher operational costs and 40 percent more security incidents than integrated systems.

Ghost assets and shadow IT. Devices still on the books that no longer exist. Kit bought without IT's knowledge. Both mean unaccounted hardware, security exposure, and licence bills you're paying for nothing. The ICO has continued issuing GDPR fines in 2025 linked to data on devices nobody could prove were wiped.

Disposal as an afterthought. The UK's WEEE Regulations were amended in August 2025, with tighter reporting from January 2026 and stronger Environment Agency enforcement. Non-compliance can cost up to £5,000 per offence, plus GDPR exposure if data is involved. Most organisations cannot prove the disposal chain for devices that left eighteen months ago, because their inventory never tracked them that far.

What Good Actually Looks Like

The principles are simple, even if execution is not:

  • One central record that updates automatically, not manually

  • Every device linked to a named owner from procurement to disposal

  • Lifecycle status visible at a glance: in use, in storage, in repair, end of life

  • Integrated with HR processes so joiners and leavers trigger device changes

  • End-of-life handled in the same system with certified data wiping and WEEE-compliant disposal

Which Option Fits Your Business?

There's no single right answer. It depends on your size, IT capacity, and how much of the logistics you want to handle yourself.

If you have a technical team and fewer than 200 devices, an open-source tool like Snipe-IT will beat a spreadsheet for free. Paid software like Lansweeper or PDQ Inventory adds automatic network discovery and runs £3 to £15 per device per month. Both solve the visibility problem but not the logistics one, you still deliver, collect, repair, wipe, and dispose of devices yourself.

If your IT team is already stretched, a managed service handles the software and the logistics. Hofy and Deel IT suit globally distributed, fully-remote teams. BornGood is UK-focused and built around refurbished hardware, starting from £1 per device per month for lite tracking and £4 for full lifecycle management. If you need heavy international coverage, Hofy or Deel IT may fit better. If you want pure software with no service, Snipe-IT or Lansweeper will be cheaper.

Most UK businesses end up with a combination: a decent inventory system plus a partner for logistics and end-of-life. The exact mix depends on your size and how much you want to handle internally.

Take Control of Your IT Estate

BornGood helps UK organisations manage their device estate end-to-end, from procurement through to WEEE-compliant disposal. We are a good fit if you want predictable monthly costs, a partner who handles the logistics, and a circular approach that keeps devices in use longer. We are not the right fit if you need international coverage or pure software with no managed component, and we will tell you that upfront.
